Website

This Dorset County Chess Association (DCCA) website supports chess played in the Dorset County League (DCL) and the Bournemouth & District Chess League (BDCL), as well as other events such as congresses.

It stores and displays contact information for Association and club officials, but only with their permission

Results and/or commentary of matches (which may include players’ names, clubs and grades) are passed to the Dorset County Grader for grading purposes and also to the Dorset League Controller for recording and publishing on this website.

No other personal information is collected or passed to 3rd parties.

The Webmaster and Data Controller is Mike Jay: [email protected]

DCL & B&DCL Clubs

Clubs, rather than the Association, hold simple databases of information about their members, specifically contact details such as names, home addresses, email addresses and ECF grades. Under GDPR from 25 May 2018 clubs are seeking permission from each member to continue to keep, and use, these records (please see Appendix 1 below).

Events and use of personal information

When players enter events run by the DCCA it is explained that information such as news, results and ECF grades will be published, principally on this website, but no personal information will be exchanged with 3rd parties in any form. (Please see Appendix 2 below)

Appendix 1 (Letter Dorset Chess Clubs will send to their members)

XX Chess Club

Personal Data – General Data Protection Regulations effective 25th May 2018

You are probably aware that organisations holding personal data, like our chess club, must now get consent from each individual member and they also need to explain how the data is used.

The Club Secretary and/or Chairman and/or a Committee Member maintains a simple database of information, which is your name, address, phone number and email address. This is only available to members of the committee, club’s webmaster, match captains and is used primarily to facilitate team selection, to organise club events and for club communications by telephone, email or via the club’s website. It is kept securely and it not shared with any 3rd parties. Nor is it published in any form.

The match captains keep results of matches and these are passed to the Dorset County Grader for grading purposes and also to the Dorset League Controller for recording and publishing on the website.

We would therefore be very grateful if you could give your consent to the above by signing below.

Many thanks,

Club Chairman or Club Secretary

I understand that, other than the reporting of results on the Dorset Chess Website and for grading purposes, where only my name and grade will be used, my personal details will not be divulged to any third parties or used for marketing purposes, unless I have requested for ECF (English Chess Federation) membership fees to be paid for by the club on my behalf when my date of birth may also be required and this would be asked for separately.

All personal entry information is required for either player identification or communication purposes and, along with any financial data, will be either safely removed if no longer required, or securely retained for the purposes of this and future Dorset County Chess Association (DCCA) congresses only.  Congress information, news, results and photographs may also be published on the Dorset Chess website.  With the exception of the English Chess Federation (ECF), where memberships details may need to be checked and results supplied for grading purposes, no personal information will be exchanged with, or passed to, third parties for any other reason.
